How ISW reports results: Measured results are stated as measured. Client-reported and ISW-estimated outcomes are identified as such, and unverified figures are not presented as results.

OGI Minerals did not have a technology problem. It had a problem many growing businesses do not see clearly until someone maps how the work actually moves: Good people were spending too much time doing work that shouldn’t have required them in the first place.

At the time of the Audit, OGI was processing roughly 2,500 new leads per month through a workflow that could touch multiple systems before the team ever pursued an opportunity. A lead may begin in a lead-sourcing platform, move through a contact-enrichment service, enter the CRM for outreach, and eventually move into project management, document storage, title work, closing documents, and other operating systems if it becomes a deal. Each system had a purpose.

Each system worked. But the work did not move cleanly between them on its own. People had become the connective tissue.

Every time someone had to clean a file, rename a document, create a folder, remove a duplicate, check a suppression record, or move information from one system to another, a little capacity disappeared. Repeated across hundreds of routine actions, those small steps quietly consumed capacity. That was the opportunity the AI Clarity Audit™ uncovered.

The Work Nobody Thinks About Adds Up Fast

Before a new lead list was ready for OGI’s team, someone still had to prepare it. Names and addresses had to be standardized. Duplicate records had to be removed. Suppression and do-not-call information had to be checked. Files had to be prepared for the contact-enrichment service and then the CRM. Records that could not be resolved cleanly had to be separated for human review. No individual step looked catastrophic.

That was part of the problem. Repetitive work rarely announces itself as a major business issue. It simply consumes 15 minutes here, 30 minutes there, an hour somewhere else until more volume automatically means more manual work. And lead preparation was only one example.

When an opportunity moved forward and a purchase agreement was signed, another manual process began. Someone needed to create the correct document structure, apply OGI’s naming rules, move files out of the CRM, connect those files to the correct deal, and confirm everything was where the next person expected it to be. None of this required a major strategic decision.

But it required someone’s attention. Every single time.

The Audit Changed the Question

The obvious question could have been: Where can OGI use AI? That was not the question ISW started with.

The more useful question was: Where is OGI spending human time on repeatable work that technology could handle safely? The AI Clarity Audit mapped opportunities across OGI’s broader deal process, including document drafting, operator notifications, CRM activity, well linking, and financial reconciliation. There were plenty of things that could potentially be automated.

ISW did not recommend automating all of them. Instead, the Audit identified where three things overlapped:

  • The work happened frequently.
  • The cost of doing it manually was meaningful.
  • Automation could be introduced without removing the judgment and controls the business still needed.

That led to two initial priorities.

Lead List Scrubbing & Import Preparation

The new workflow cleans and normalizes incoming lead data, removes duplicates, checks suppression information, prepares files for OGI’s existing systems, and separates exceptions that still need a person to make a decision.

Deal Folder & File Intake

Once a deal reaches the appropriate stage in the CRM, the automation creates the required document structure, applies OGI’s naming rules, moves and renames the appropriate files, and connects those records back to the team’s existing workflow. OGI did not need to replace its systems. It needed to stop asking employees to manually bridge the gaps between them.

What Changed

80%+ More Leads Processed Per Month

The scrubbing agent now removes approximately 60 to 90 minutes of manual preparation from each lead list, eliminating a recurring bottleneck before those leads enter the outreach process. According to ISW’s engagement data, OGI is now processing more than 80% more leads per month compared with its average processing volume before the Lead Scrubbing agent went live in April 2026. Monthly volumes varied, so the comparison is based on average processing volume rather than a single before-and-after month. Automating list preparation reduces the recurring manual work before a list is ready for outreach, allowing the team to prepare additional lists within its available working time. The value is not simply the time saved on each list.

It is the added processing capacity created when manual preparation no longer sits between the business and the next batch of opportunities.

30-60 Minutes Less Deal Setup Per Deal

The second automation removes much of the folder creation, naming, file movement, and setup work that previously followed a deal as it moved forward. It has already processed more than 30 deals since going live. At OGI’s target pace, ISW estimates this workflow alone removes about 12 to 20 hours of manual work each month.

The broader impact is simple: OGI created more capacity without adding more manual setup to the process.

What OGI Chose Not to Automate Matters Just as Much

For many business owners, this is where the excitement around AI turns into hesitation. And reasonably so. OGI’s workflows can include owner information, royalty data, legal documents, outreach requirements, and records where a bad automated decision could cause a much larger problem than a slow manual process.

So the goal was never to automate as much as possible. The goal was to determine what should be automated, what should remain human, and where controls were required. The systems built for OGI are client-specific and contained within a controlled environment rather than routing sensitive information through public consumer AI tools.

The Audit also identified safeguards including role-based access and logging around owner and royalty information, suppression checks before outreach, required human review for legal documents, and protections around records that should never simply be overwritten. The result is deliberately divided. Automation handles the repetitive work it can perform reliably.

Exceptions go to a person. Legal documents require human review. Sensitive decisions remain with the team.

Because the objective was never to remove people from OGI’s process. It was to stop using people for parts of the process that didn’t require them.

OGI Is Not Finished

The initial Audit uncovered more opportunities than OGI chose to implement at once. Two additional workflows are currently in development:

  • Deal-document drafting and QA
  • Operator notifications

Those workflows are not included in the results reported here because they are not yet live. The results here reflect only work that is live and outcomes that have been measured or otherwise verified. The Audit is not designed to manufacture a dramatic AI story. It is designed to show a business where the real opportunities are, which ones are worth pursuing first, and what should happen next.

The Bigger Takeaway

OGI already had software and capable people. What it didn’t have was a clear view of how much employee time was spent simply keeping information moving between systems. From inside a business, those individual tasks often look too small to prioritize.

Nobody wakes up thinking: Our biggest problem is the 30 minutes we spend moving files. They notice that the team is busy.

They notice that additional volume creates pressure. They notice people spending time on administration instead of higher-value work. What is harder to see is which repeated tasks are quietly creating that pressure, and which of them could safely disappear.

OGI’s AI Clarity Audit made those opportunities visible. Two focused changes are already helping the company process substantially more work with less manual preparation. The Audit also identified where to go next without forcing OGI into a massive technology overhaul.

Client Perspective

“AI isn’t just the future of business; it’s the baseline for staying competitive right now. We knew we had to lean in to keep our edge, but we didn’t want to automate blindly. ISW helped us map out exactly where AI could accelerate our workflows and, just as importantly, where we needed to keep our people in control. That clarity is what makes this transformation actually work.”

Your Business Probably Has Its Own Version of This

It may not be lead lists. It may be proposals, client onboarding, reporting, scheduling, document preparation, CRM updates, internal approvals or copying information from one system into another.

The task is different in every business. The pattern is remarkably common: smart people doing repeatable work because nobody has stopped to ask whether they still need to. You don’t need to know what should be automated before you begin. That’s the point of the Audit.

Find the work your team shouldn’t still be doing manually.
